Media Inquiries Policy
Purpose
To ensure inquiries from the news media are handled consistently, so the Company's public statements are accurate and coordinated, and its competitive and legal interests are protected.
Policy
All media inquiries — including from trade or business publications, and including interview requests — must be referred to the Communications/Public Relations department (or, where the Company has none, to designated executive leadership). Employees should not discuss Company business with a member of the news media, even informally, without that referral.
Communications/PR will verify the accuracy of any information intended for release and obtain the necessary internal approvals before it goes out.
Inquiries about a serious workplace incident or accident
Reporters may contact supervisors or other employees directly after a serious or fatal workplace accident, seeking details.
- Only confirm that an incident occurred. Do not release details of the incident or the names of anyone involved.
- A suggested response: "I can confirm that an incident occurred, but I don't have details to share right now. If you'd like to leave your name and number, I'll have someone follow up with you as soon as possible."
- Immediately pass the reporter's name and contact information to Communications/PR (or the designated leadership contact).
Responsibilities
| Role | Responsibilities |
|---|---|
| Employees | Refer all media inquiries, without exception, to Communications/PR. |
| Managers / supervisors | Follow the above guidance if contacted directly, especially after an accident; ensure their team knows to do the same. |
| Communications / Public Relations | Own all media contact; verify facts and obtain approvals before any release of information. |
